North Sydney Council administers the North Sydney local government area on Sydney’s picturesque lower North Shore. Our 400 employees look after 77,000 residents spread across 10 square kilometres of land on the foreshores of Sydney Harbour providing spectacular harbour views, beautiful parklands, and a bustling CBD. We are currently seeking an enthusiastic and service focussed individual to join our Council and Committee Services team as Council’s Meeting Administration Coordinator. This is an exciting opportunity to work closely with staff across Council, the public and Councillors in order to support and facilitate a range of key governance functions within North Sydney Council.

The successful candidate will be responsible for coordinating meetings/committees, preparing agendas, minute-taking, producing papers in accordance with appropriate legislation. The position will also provide support to Councillors to enable them to carry out their civic office functions, particularly as decision makers through Council Meetings.

This role will suit an applicant who exhibits excellent interpersonal and communication skills, with the ability to adjust to changing priorities and manage multiple tasks against strict deadlines. If you are a skilled administrator and are highly organised this role will suit you.

Please note that the successful applicant will need to be available to attend evening meetings on a regular basis, for which overtime or time in lieu is available.

Based at Council Chambers, located in a beautiful park setting, close to public transport, bicycle routes and recreational facilities.

Essential Criteria 

  • Significant experience relevant to the role in a government or large multi-disciplinary organisation
  • Sound working knowledge of relevant policy and legislation
  • Strong administrative skills and ability to manage conflicting priorities and meet strict deadlines
  • Demonstrated proficiency in report writing preferably for senior executive or public publication, preferably in the context of statutory reporting
  • Excellent interpersonal and communication skills with particular emphasis on consultation, negotiation, influencing and assertiveness to effectively achieve corporate outcomes across a diverse range of stakeholders
  • Demonstrated application of research, analytical, problem solving and investigative skills preferably as they relate to the development of performance measures and service standards
  • Proficient in the use of personal computer applications and in particular, the Microsoft suite of products (i.e. Microsoft Word, Excel, Outlook 365)

Desirable

  • Relevant tertiary qualification in Administration, Business Governance, Local Government, or similar
  • Experience in the preparation of business papers and taking of live minutes for Council Meetings
  • Supervisory/staff management experience
  • Ability to train or present to small groups of people
  • Ability to manage highly confidential and very sensitive matters
  • Vaccinated against COVID-19
