Role Overview 

This position is responsible for leading the Regulatory Services administrative team to provide high-quality administrative, customer service and technical services across the Regulatory Services Units of Locals Laws, Traffic Amenity, Environmental Health and Building Services.

The Team Leader Regulatory Services Administration Technical Support will manage day to day performance of the Regulatory Services Administration team to ensure that service plans, service commitments and budget objectives are satisfied by: 

  • Manage, lead, motivate and assess performance of staff in accordance with Council policies
  • Assist with preparation of budget and forecasting functions across Regulatory Services
  • Champion and promote Councils values in all day-to-day duties.
  • Provide mentoring, performance management and coordination and delivery of development training to administration officers and identified.
  • Ensure that a high level of administrative and technical support is provided by the team in order to meet or exceed, customer expectations consistent with Council’s customer service commitments.
  • Promote the consistent application of standard operating procedures, processes and frameworks across units, ensuring all procedures are compliant with relevant regulations, policies and legislation, and provide recommendation for remedial action where required.
  • Establish and maintain strong and effective working relationships with key internal and external stakeholders to ensure effective and efficient business practices are maintained and followed. 
  • Provide sound analysis and reporting on a range or relevant customer service data.
  • Undertake word processing of reports, letters etc, and attend routine correspondence as requested by the Regulatory Services unit.
  • Other projects as necessary.
  • Responsible for the day-to-day supervision of Regulatory Services Administration unit.
  • Provide strategic direction. 
  • Communicate a clear set of goals to your team. 
  • Measure performance regularly against a clear set of goals.
  • Escalate up relevant issues of importance in a timely fashion.

About You

The successful candidate will ideally hold a degree in Business Administration/Management and some relevant experience or lesser formal qualifications with substantial experience in an executive assistant/high level administration role. 

You will be able to demonstrate experience in generating a variety of documentation and reports and external correspondence, coupled with experience in a wide range of Windows based databases and applications whilst working in a team environment. 

Key Selection Criteria 

  • Degree or Diploma in Business Administration/Management or similar; or lesser qualification with substantial experience in an executive assistant/high level administration role.
  • Demonstrated experience in managing an administration team and training staff.
  • Excellent word processing skills and accuracy in data entry and demonstrated experience with a wide range of Windows based databases and applications and Council software packages utilised by the Regulatory Services Team.
  • Demonstrated experience in generating a variety of documentation, reports and correspondence.
  • Experience in an office environment with the ability to maintain confidentiality
  • Well-developed interpersonal and communication skills
  • Demonstrated ability to adapt to new situations, showing initiative in responding to challenging and competing work tasks and demands.
  • Knowledge and understanding of health and safety issues relevant to work activities and work area.
