About the position:

The Personal Assistant to Director provides high quality and detailed administrative support to the Director Infrastructure Services, providing an effective and efficient communication link between the Director and the Infrastructure Services branches and whole organisation. The Personal Assistant to Director works as a team member to ensure cooperation and the provision of informed, coordinated and quality services to internal and external customers.

Key accountabilities:

  • Assist Director and Infrastructure Services Managers to carry out the functions of their respective office to ensure efficient and effective delivery of services;
  • Work closely with the CEO’s office to manage the Infrastructure Services’ Council report requirements for Concept, Agenda and Ordinary Council meetings.  This includes liaising with Managers and Directors, drafting and proofing reports, submitting reports in accordance with deadlines and filing as required;
  • Provide excellent customer service to both internal and external customers, particularly managing public telephone enquiries;
  • Ensure all records, including correspondence, enquiries from the public, staff and Councillors are actioned and responded to in accordance with the City’s policies and procedures;
  • Maintain an awareness of relevant legislation, policies and procedures relevant to area of responsibility and ensures that all work complies with such requirements.

Position requirements:

The successful applicant will have sound experience providing executive support, including preparation of agendas, reports, minute taking and proofing of high level documentation. This role requires exceptional organisational skills, strong attention to detail and the ability to work to deadlines in an environment of competing demands and priorities.

Completion of a pre-employment medical including alcohol and other substances testing is required of all positions at the City.

Remuneration and benefits:

A salary starting from $74,739 per annum or $37.82 per hour will be offered dependent on knowledge, skills, experience and qualifications.
