In the role of Legal Administration Officer you will provide an efficient support service to the Directors and Legal Services team. You will also represent the branch as a Recordkeeping Administrator.

Accountabilities include:

• Offer a high level of confidential administrative/secretarial support to the Directors (2) and the Legal Services team including:

o Manage incoming phone calls and direct enquiries appropriately.

o Assist with document preparation, ensuring documents are of high quality, conform to departmental standards and are finalised within required timeframes.

o Accept service of subpoenas and managing incoming correspondence.

o Coordinate meetings, workshops, forums and events.

o Transcription and amendment of complex and highly confidential legal documents.

o Assisting with billing, liaising with clients and other general admin duties.

• Provide easily accessible information to the Legal Services team by maintaining an efficient and confidential filing system in accordance with the department's Recordkeeping guidelines.

• As a Recordkeeping Administrator you will be responsible for:

o Creating, administering and archiving files in the department's Document Management System (DMS) and the Legal Practice Management System.

o Regularly reviewing files to ensure compliance with legislation and other departmental policies.

This role reports to the Principal Business Advisor.

Applications to remain current for 12 months.
