Primary Objective:

Provide sound efficient and effective advice and day to day delivery of administrative services to the Director, and management within Early Childhood Policy and Programs including managing general inquiries, travel arrangements, information and records and preparing and presenting documents.


Context Statement:

Early Childhood Education and Care is responsible for strategically implementing a range of Australian and NT Government early childhood education and care initiatives to improve the quality and integration of early childhood services. It provides policy and program advice, professional development and support to government and non-government early childhood education and care services across the NT. Early Childhood Education and Care incorporates Quality Education and Care NT, the regulatory authority responsible for the implementation and administration of the National Quality Framework across the Northern Territory.


Key Duties and Responsibilities:

1.     Provide administrative support for Early Childhood Policy and Programs and ensure deadlines and organisational objectives are met by for example arranging meetings, responding to general inquiries and handling ad hoc tasks.

2.     Process all incoming and outgoing correspondence and maintain records in the Tower Records Information Management (TRIM) system.

3.     Manage general enquiries and liaise effectively with departmental officers, school principals, NT school communities, the general public and external agencies to provide information on program activities.

4.     Provide documentation support services such as formatting, editing and distribution as well as reviewing and finalising Ministerial, Cabinet submissions in accordance with government processes.

5.     Provide office management support such as purchase of resources and maintenance of office equipment.

6.     Process travel arrangements through the Travel Request Information Processing Systems (TRIPS) including arranging travel to meet business needs, reconciling credit cards, payment of invoices.


Selection Criteria


1.      Demonstrated ability in the provision of effective and systemic administrative support services including document preparation, travel and records management.

2.      Demonstrated ability to work effectively in a team administrative support or similar role requiring initiative, flexibility, confidentiality, integrity and high levels of personal motivation.

3.      Ability to work both independently and within a team environment to achieve high level results and meet deadlines within tight time constraints.

4.      Experience in a range of software packages including word processing, spread sheets, databases, records management, including payment of invoices through accounting software.

5.      Sound interpersonal, cross cultural, oral and written skills to communicate effectively with a broad range of stakeholders and interact and work effectively with people of diverse cultures.
